Shared Care task lists

Some of the work of caring for someone isn't about that person at all - it's the household around them. The grocery run. The school forms to drop off. The pharmacy pickups. The supply re-order. These are the errands a care circle shares, and they get done faster when everyone can see the same list.

Shared Care task lists give you exactly that: one named to-do list that you and your co-caregivers all see and edit together. Make a list, share it, and from then on everyone works from the same set of to-dos - and a change one person makes shows up for the others in moments. Available

What a shared list is

A shared list is a named to-do list - Grocery run, School forms, Pharmacy pickups - that more than one caregiver can open. Inside it are ordinary to-dos. The difference from a to-do you keep to yourself is simply that the people you've shared the list with see it too, and any of them can work it. It's one to-do list that you and your co-caregivers all see and edit together, not a copy each of you keeps.

Make a named list, share it, and everyone on it works from the same list. Add, check off, or change an item on your phone and it shows up on theirs in a moment - so the whole care circle is always looking at the same up-to-date list. Everyone on the list is equal on the to-dos: any member can add, complete, edit, or remove an item, and the change reaches everyone.

You reach your shared lists from the To-dos screen by tapping the title at the top to open the list switcher - they sit there alongside your people and General. Give each list a name that says what it's for, so anyone who opens it knows what it's for at a glance.

Shared lists are for household and shared logistics - the things a care circle handles together. In this version they aren't tied to one person you care for; they're the shared errands, not one person's care plan.

Getting to your shared lists

Main Menu -> To-dos, then tap the title at the top of the screen. A pull-down opens showing every list you can switch to — your shared lists appear here, alongside your people and General. Tap any shared list to open it. Tap Manage shared lists to create a new list, rename one, or leave one.

Creating a list and sharing it

Making a list takes a moment:

• Make a new list and give it a name that says what it's for.
• Add to-dos straight into it. In the new-to-do composer, choose Put in a shared list... and pick which one. No lists yet? Choose it and you can create a shared list right there - no need to make one first.
• Move an existing one in. If you already have a General (person-less) to-do that belongs on a shared list, you can move it into the list - and if you don't have any lists yet, the move offers to create one first.
• Drop in a whole template at once. From To-dos → + → Use a template, pick Add to → a shared list, and every checked item lands on it in one go. Because it's a shared list, CareHaven asks you to confirm first (something like "Everyone on 'Grocery run' will see these to-dos.") - there's no Undo on this one, since your co-caregivers see it immediately.

Then share it:

1. Open the list and send the invite link to a co-caregiver.
2. They tap the link and accept.
3. From then on you both see the same list, and changes sync between you in near real time.

The whole point: once they accept, it's one list you both hold. No exporting, no re-sending - you add, they see it.

Give a shared list an icon

A shared list can carry a small icon so it's easy to spot in the list switcher - a cart for the grocery run, a house for household errands, and so on. Set it from the list's rename screen: open the list (or tap Manage shared lists), open its rename screen, set the Name, and pick an Icon from the picker - one of 18 care-themed symbols, tinted in CareHaven's calm sage accent (there's no color to choose, by design). The icon then shows next to the list's name wherever the list appears - in the switcher, on its rows, and in its header. It's optional - a list with no icon just shows a neutral default, never a blank.

New shared lists don't offer the icon step yet. When you first create a shared list, CareHaven doesn't ask for an icon - add one afterward from the list's rename screen using the steps above.

Who can do what

On a shared list, the to-dos belong to everyone:

• Every member is equal on the to-dos. Anyone on the list can add, edit, complete, or delete an item, and everyone sees the change. There's no "owner" of an individual to-do - it's a shared workspace.
• The person who created the list manages who's on it. They can invite new people, remove a member, and delete the whole list for everyone.
• Anyone else can leave a list they no longer need.

Sync and offline

Changes to a shared list sync in near real time between the people on it. Add an item on your phone and it appears on theirs in moments; check one off and it's checked off for everyone.

If two people happen to edit the same item at the same moment, the most recent edit is the one that sticks - there's no pop-up asking you to choose. In practice this is rare on a shared errand list, and the list simply settles on the latest version.

What this version doesn't do yet

A few honest limits worth knowing up front:

• Household-only. Shared lists aren't tied to one person you care for yet - they're for shared household logistics, not a single person's care plan.
• Moving a to-do out of a list isn't available yet. You can move a General to-do into a list, but you can't move one back out. To take an item out of a list, delete it - and add it again as a General to-do if you still want it.
• Only plain General to-dos can move in. Only an open, manually-created General (person-less) to-do can move into a shared list. A to-do tied to a person, or one that came from a care record (a doctor-visit follow-up, for example), stays out - which keeps personal care details off a shared list by design.

Sharing and your privacy

A shared list only ever holds the to-dos you put on it. CareHaven never attaches a cared-for person's name or their care records to a shared list, and it won't let a to-do that's tied to a person or a care record move onto one - so a person's care plan stays off a shared list by design. (What you and your co-caregivers type into a shared list is, of course, up to you - so keep a shared list to the shared logistics it's built for.)

You can search your shared lists inside CareHaven, but their names are kept out of your phone's system-wide Spotlight search, so nothing about them turns up outside the app.

Shared lists ride CareHaven's own private sync between the caregivers you've invited - no account to sign up for, no third-party service in between. Because a shared list lives in that shared sync, it isn't part of your personal encrypted .chbak backup; it re-appears from the shared list itself rather than from your backup file.
